Position Highlights
The University of Arizona Campus Store is looking for an Inventory Control Coordinator to oversee and enhance inventory operations for our General Merchandise and Course Materials divisions.
The Inventory Control Coordinator is responsible for overseeing daily activities to ensure compliance with organizational standards in accuracy, accountability, and efficiency. Reporting to the Assistant Director of Operations & Inventory Control, the Inventory Control Coordinator collaborates closely with the accounting department to maintain inventory accuracy.
Flexibility in work hours is required, including availability to open and close the store as needed on evenings and weekends.

Duties & Responsibilities
- Responsible
for oversight of warehouse inventory inclusive of providing process
guidance and determining solutions. - Accountable
for developing and implementing operational process to bridge receiving
and buying in in order ensure warehouse accuracy and control. - Develop
and enforcing procedures related to receiving and backstock functions to
ensure accuracy, accountability, and efficiency. - Analyze
reports to determine shrink metrics and researching causes for inventory
accuracy; provide reports to Campus Store leadership as well as
institutionally as required. - Implement
and oversee cycle counts to ensure accurate inventory levels, provide
report to Campus Store leadership . - Utilize
continuous improvement strategies to ensure warehousing, inventory
management, and policies and procedures are aligned with the University of
Arizona Campus Store overall business plan. - Ensure
compliance with safety guidelines and procedures for the Warehouse. - Oversee
and supervise inventory counts and audits to ensure inventory accuracy. - Recommend
and implement process improvements and identifying opportunities for cost
savings in inventory management. - Review
the effectiveness of process and procedures related to inventory and
warehouse management and determine solutions for issues. - Advise
Campus Store leadership and align on strategic initiative, provide
direction and impact to staff work objectives. - Effectively
communicate process and procedure changes to warehouse staff. - Prepare
periodic reports, financial information, and records on product and
service needs and sharing the findings with Campus Store leadership and
the accounting team. - Provide
expert guidance to both internal and external entities on warehouse
management, the largest portion of Campus Store expense and
liability. - Act as
liaison to campus community (units, colleges, divisions) to effectively
communicate policy and procedure needs for inventory and warehouse
control. - Communicate
margin issues with buyers, vendors, etc. and working towards timely
resolutions. - Generate
accurate inventory reports for the leadership team. - Create
and enforce quality control measures to maintain high standards of
accuracy, accountability, and efficiency in inventory management. - Control
markdowns and voids by monitoring damages and overstock to minimize losses
and maximize profits. - Coordinate
the receiving of inventory for incoming orders both GM and course
materials, ensuring timely delivery and accurate tracking of inventory. - Process
all incoming and outgoing transfers of merchandise in Campus Store
internal system to maintain accurate inventory records and minimize
errors. - Contribute
to the budget process for the inventory management program and ensuring
that resources are allocated effectively to meet operational requirements. - Ensure
the security and proper operation of the dock area and its procedures, as
directed, to minimize losses and maintain operational efficiency. - Coordinate
and participate in all inventory events to ensure accurate tracking and
monitoring of inventory levels. - Supervise,
schedule, and train staff on all applicable inventory processes to ensure
that they are knowledgeable and skilled in their roles. - Analyze
complex problems and develop innovative solutions through investigation
and analysis of multiple alternatives, taking into account the needs and
requirements of the University of Arizona Campus Store. - Develop
and implement programs within backstock and receiving, contributing to the
success of the organization and improving operational efficiency.
Knowledge, Skills and Abilities
- Inventory
Management Principles: Understanding of inventory control techniques,
including FIFO (First In, First Out), LIFO (Last In, First Out), and
just-in-time (JIT) management. - Supply
Chain and Logistics: Knowledge of the supply chain process, including
procurement, transportation, warehousing, and distribution. - Accounting
and Finance Basics: Familiarity with cost management, budgeting, and
financial metrics related to inventory, such as holding costs and
inventory turnover. - Safety
and Compliance Standards: Awareness of industry regulations, safety
protocols, and standards (e.g., OSHA for workplace safety). - Analytical
Skills: Ability to interpret data, assess inventory levels, forecast
demand, and make data-driven decisions. - Attention
to Detail: Ensuring accuracy in inventory counts, order placements, and
documentation. - Communication
Skills: Clear communication with suppliers, team members, and other
departments to ensure the smooth flow of inventory and resolution of
issues. - Problem-Solving
Skills: Ability to address issues like stockouts, discrepancies, and
shipping delays effectively and proactively. - Technological
Proficiency: Skilled in using and adapting to various inventory management
and tracking systems, as well as Excel or other spreadsheet tools for data
management. - Adaptability:
Adjusting quickly to changes in demand, supplier issues, or other unexpected
challenges in the inventory management process.
Minimum Qualifications
- Bachelor's
degree or equivalent advanced learning attained through professional level
experience required. - Minimum
of 5 years of related work experience or equivalent combination of
education and work experience required. - Flexibility
in work hours is required, including availability to open and close the store
as needed on evenings and weekends.
Preferred Qualifications
- Experience using NetSuite or similar ERP system.

In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses. These reports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
