The College of Professional and Continuing Studies is seeking a Program Coordinator to assist with our Industry Partnerships, including the Economic Development Institute, Lean Institute, and Energy Education Programs.

Essential duties for this role will include the following:

  • Coordinates administrative functions such as personnel, operational matters and other services - planning event logistics for two annual conferences and local training events - monitoring participant lists, ordering supplies, preparing registration packets and training resources, coordinating event sessions, preparing for graduation luncheon.
  • Distributes information to program staff and others. Answers questions about the program and its progress as it relates financially -- participant engagement & advising - describing program, reviewing applications to the program, keeping participants informed regarding payment status, answering ad hoc student inquiries via phone or program inbox.
  • Plans and oversees special projects -- Online course support by adding participants to online courses, answering online course participant questions. Also, provides social media support.
  • Coordinates administrative activities of a designated program or programs -- Manages course materials and compiles course manuals from instructor PowerPoint presentations.
  • Organizes and participates in the analysis of collected data. May perform data entry, collect, and clean data - inputs course schedules, tracks course selection & payment, updating student profiles, providing transcripts as requested.
  • Coordinates the activities between projects for a department or college and between those projects and other programs on the national or state level. Interfaces with university departments, funding sources, outside organizations and state/government agencies.
  • Performs various duties as needed to successfully fulfill the function of the position - answering and/or routing calls and visitors, manual sales & shipping, miscellaneous duties as they arise.


Job Requirements

Required Education: Bachelor's degree, AND:

  • 36 months of related experience

Equivalent/Substitution: Will accept 48 months of related experience in lieu of a Bachelor's degree for a total of 84 months of related experience.

Skills:

  • Ability to speak, read and write clear, concise English
  • Basic math skills
  • Ability to accurately read and understand written materials and instructions
  • Highly organized and able to handle multiple projects and deadlines
  • Able to produce reports and complete work within deadlines
  • Excellent customer service skills
  • Strong initiative to solve problems.
  • High level of proficiency in Microsoft Office, including Outlook, Excel, Access, and Word.
  • Experience using social media platforms and online applications such as design apps.

Advertised Physical Requirements:

  • Must be able to engage in repetitive motion and sit for extended periods of time.
  • Ability to communicate effectively, including expressing oneself or exchanging information with others.
  • Ability to see, including depth perception, color, and clarity.
  • Ability to hear, including perceiving sounds at normal speaking levels and ability to receive detailed information through oral communication.
  • Ability to bend, lift, carry up to 25 lbs. on an infrequent basis.
  • Standard office environment with moderate exposure to periods of stress due to deadlines and busy periods.
  • Must be willing to travel overnight twice per year for ~5 days each

Departmental Preferences:

  • 12+ months experience in advising, program or academic support.
  • 12+ months experience in higher education.

Supervision: The role may help supervise a student employee when the role is filled.
